Key stakeholder relationships: 3rd party event organisers, City of York Council

People responsibility: Working collaboratively across the Make It York team

Main purpose of role

To develop and implement 3rd party and internal event Health & Safety policies and templates.  To work across the business to ensure all Make It York and 3rd party events and markets are operating within these best practice guidelines at all times.  To liaise with organisers internally and externally to ensure all events are safely and professionally planned and delivered

Main Responsibilities and Key Tasks

Make It York/internal

  • Responsible for all aspects of Health and Safety, risk assessments and risk management obligations with regard to Make It York events. This will include the development of H&S event templates and guidelines
  • Provide advice and support to event organisers for the delivery of safe and successful events, markets, projects and initiatives
  • Oversee events on the ground to ensure all Legal and Health and safety elements are delivered
  • Ensure all aspects of Health and Safety are delivered to the highest standards in the Shambles Market. Initially this may involve working with an external consultant to assist in implementing outstanding recommendations
  • Future responsibility for occupational Health and Safety and Safety in the Workplace

3rd party/external

  • Ensure third parties’ compliance with Make It York’s risk assessments, insurance and liability requirements throughout the process
  • Ensure all third parties produce event plans and manuals together with all relevant certificates and risk assessments to cover all Make It York’s Health and Safety and legal requirements. Ensure these are presented to the Safety Advisory Group as necessary
  • Liaise with film production partners from enquiry to facilitation of safe filming across the city

Skills and Experience

  • Ability to create and implement Make It York’s event Health and Safety policy and documentation and ensure compliance
  • Ability to advise Make It York on the relevant policies and documentation of third parties
  • Level 3 or higher recognised Health and Safety qualifications
  • Proven experience in delivering high quality levels of Health and Safety
  • Proficient in producing and reviewing risk assessments
  • Experienced in planning and delivering successful outdoor events
  • Working knowledge of licensing legislation
  • Judgement to escalate issues promptly
  • Dynamic decision maker
  • Diplomatic with ability to work with many different stakeholders and ensure cooperation
  • First Class planner and able to work with a sense of urgency
  • Ability to multi task effectively
  • Ability to self-motivate and work as an integral part of various teams
  • Able to work flexibly including weekends and evenings where necessary
  • Proficient in use of Outlook and Microsoft Office
  • Familiarity with using SAGE would be useful

Hours of work:

Full time - 37.5 hours per week, Monday to Friday.  Some weekend and out of hours working will be required to include early starts and late finishes at events
